Profit Tracking

Profit Tracking creates a profit and loss view for a selected period. sellerfox combines revenue, Amazon fees, and refunds from your Amazon order and transaction data with the COGS, income, expenses, and FBM costs you maintain.

Owners and Admins can edit COGS, income, expenses, and FBM cost rules. Viewers can use Profit Tracking and export COGS, but Viewers cannot import, edit, or reset costs. See the Permissions matrix for details.

Check the profit calculation for completeness

Check these inputs first:

With input VAT recoverable, Profit Tracking uses VAT-bearing P&L costs net of VAT; otherwise, VAT remains part of the cost.

During the initial order and transaction import, Profit Tracking displays a notice with the current progress. The figures remain incomplete until the import finishes.

Missing costs are not deducted

sellerfox does not substitute a value for a cost you have not entered. Net profit will therefore be too high until you add the missing cost.

Read the profit overview

Select a period

Choose one of the preset period tiles or a “Custom” range. The start and end of the period follow your browser's time zone.

The percentage beside “Sales” compares each tile with its own previous period, not with the neighboring tile. Calendar ranges use the preceding calendar period. Rolling and custom ranges use the immediately preceding range of the same length.

Refunds appear in the settlement period

sellerfox assigns refunds to their Amazon settlement period, not the order date. You cannot change this assignment.

Understand the profit tiers

The “Default” view shows the headline figures. “Waterfall table” shows the full calculation from Gross Revenue to Net Profit. Select “%” to switch between amounts and each row's share of net revenue.

Gross Revenue is not Sales (Total)

Gross Revenue is based on orders. Sales (Total) comes from the Sales & Traffic Business Report. The values can therefore differ.

The Default view shows period tiles above the figures grouped by marketplace.

The four result rows progressively deduct further costs from revenue. This shows where margin is created or lost:

Inspect cost details

Expand a cost row with an arrow in the waterfall view to see its subcategories. You can click subcategories that have a dot in front of them.

The modal uses the profit overview's date range and filters. The filters determine which entries appear, but each entry retains its full original amount. With marketplace or product filters, the waterfall table instead includes only the share allocated to the selection. For example, an expense of EUR 90 assigned to DE, FR, and IT appears as EUR 90 in the modal but contributes only its allocated share of EUR 30 to a profit overview filtered to DE.

The detail view shows multiple entries behind the selected subcategory.

Read grouped values correctly

You can group the table by marketplace, SKU, Child ASIN, Parent ASIN, or product list.

The full cost scope is available only in the unfiltered marketplace view

Only marketplace grouping without additional marketplace or product filters contains the full cost scope. Product-based rows include only values that sellerfox can attribute to that product, so they do not form a complete P&L.

The displayed total row is calculated separately. If you add the detail rows yourself, the result can differ from that total depending on the grouping:

  • When grouping by SKU, Child ASIN, or Parent ASIN, an order can be counted in multiple rows. For example, an order containing two different SKUs contributes to Orders in both SKU rows, but only once in the total row.
  • When grouping by product list, every product-related KPI value can appear more than once because a product can belong to multiple lists. sellerfox therefore does not show a total row for this grouping.

Unassigned amounts are already included in the total row. Do not add “Not assignable to any row shown” to that total again. Averages and percentages from individual rows cannot be added to produce a total either.

Ad spend, DB3 (Marketing Margin), and Net Profit are unavailable at SKU level because Amazon reports ad spend per ASIN, not per SKU. sellerfox therefore cannot reliably determine an individual SKU's share. You can use Child ASIN grouping for a product-level view of ad spend; only the unfiltered marketplace view contains the full cost scope.

When you filter by specific marketplaces or products, sellerfox includes only costs that can be assigned to that selection. General costs may therefore be missing from the filtered view. Check your income and expense allocation before comparing filtered figures.

Compare Profit KPIs over time

Choose a period tile, then select “Show development over time”. The chart uses exactly that tile's period and the active marketplace and product filters. The chart does not show a comparison period.

The chart starts with Gross Revenue. Use “Add KPI” to combine up to three available Profit KPIs, change the KPI order, and display each KPI as a line or column. The initial granularity follows the period tile. You can switch between “Hour”, “Day”, “Week”, and “Month”.

Hour” is available only for periods of up to 14 days. Ad spend and manually entered income and expenses are available only by day, so KPIs that depend on those daily figures cannot display an hourly line. sellerfox marks the affected KPIs in the chart and recommends switching to “Day”.

With hourly granularity, values for the current day may appear with a delay of up to 15 minutes. The data status in the chart shows the latest time included.

Enter COGS per SKU

COGS is the cost per unit sold, not the purchase value of an entire shipment. You maintain it per SKU and marketplace. Ten variants with one SKU each on a single marketplace therefore need ten entries. The same SKU on two marketplaces needs a separate entry for each marketplace.

Enter the unit cost exactly as it should be included in the P&L.

Open the cost list and date points

The “COGS” tab lists your workspace's SKUs.

Alongside the cost, the list shows how many date points are configured for a SKU.

The list shows the value of the latest configured date point. The cost applied to an order depends on its order date instead. To find missing costs, filter the view by “Missing” under “COGS status”.

Click a row or select “Edit COGS” to open the SKU's configured COGS:

  • Beginning” has no date and applies before the next date point.
  • Add date point” sets a further value. The new value applies from its “Effective from” date, inclusive, through the day before the next date point.
  • Use the trash icon beside a dated point to remove it. The preceding value then continues until the next remaining date point.
Each date point sets the unit cost for a further period.

Changing an existing date point changes the COGS and profit of affected past orders. To keep earlier costs unchanged, retain the existing date points and add a new one.

Select checkboxes and reset costs

Use the checkboxes in the list to select those SKUs whose configured COGS you want to delete completely. The export function is not affected by this selection and follows the active filters instead. You cannot select SKUs without configured COGS.

The header checkbox selects the currently loaded rows with costs. Scrolling loads more rows, so this does not automatically select every SKU in the workspace. Check the displayed selection count before choosing “Reset COGS”.

Resetting removes the entire cost history

After confirmation, “Reset COGS” removes every date point for the selected SKUs. This also applies when resetting a single SKU in its edit dialog and cannot be undone. Export the costs first if you want to keep a backup.

Currencies when entering costs

When you enter COGS directly in sellerfox, the workspace currency applies.

For a file import, set each row's currency in Currency. A blank cell also uses the workspace currency.

Imported COGS retain their original currency when you edit them later. To change the currency, re-import the same date point.

sellerfox converts the source currency to the target currency using the cost date point. See Currency conversion for details.

Import and export COGS

Use the export as a template to maintain many SKUs or cost periods at once:

  1. Set the filters on the “COGS” tab and select “Export”. The export follows these filters, not the checkboxes.
  2. Open the CSV or XLSX file. Change only costs, effective dates, and currencies where needed. Leave the reference columns unchanged.
  3. Duplicate a SKU's row to add further cost periods.
  4. Select “Import”, upload the file, and review the preview, particularly removals and invalid rows.
  5. Select “Start import” and wait for the result. Check the affected products even if the import was partly successful. Then reload the profit overview.

Multiple periods in one file

The same SKU can appear more than once in the file when its rows describe different cost date points. Copy the exported row, including all reference columns. Keep the ASIN, SKU, and marketplace unchanged; edit Effective From (YYYY-MM-DD), COGS, and, if needed, Currency.

This example shows three rows for the same SKU on the same marketplace. Only the editable columns are shown here for clarity; keep every column in the import file:

There is no end date to enter: the next date point ends the preceding period. Use only one row per date point for each SKU and marketplace.

Add, change, or remove existing values

The import merges with stored COGS:

A blank COGS cell is a removal instruction

Do not leave COGS blank to skip a row. Remove the whole row from the file instead. To reset a SKU, use a single row without mixing it with new cost date points for that SKU.

The preview classifies each row as an update, new entry, removal, product not found, invalid, or unchanged.

If a row fails validation or currency conversion, sellerfox applies none of the rows for the same ASIN on that marketplace. This can affect multiple SKUs. Other products continue to import.

Correct the affected rows and import them again. After a general error, check the stored date points first: the import does not automatically roll back every change already applied. See COGS import troubleshooting for further help.

File format and columns

You can import one CSV or XLSX file up to 10 MB. CSV files must use semicolons as delimiters. You can use a comma or period as the decimal separator, but thousands separators are not supported.

The current export format contains these columns:

Leave every column marked (readonly) unchanged.

Currency conversion

If the COGS currency differs from the Workspace currency, the COGS are converted into the Workspace currency for analysis. For a dated COGS point, sellerfox prefers the closing rate for its “Effective from” date. If the closing rate is unavailable, it uses that day's midday rate or the latest available closing or midday rate from the two preceding days. “Beginning” uses the earliest available rate. The converted export columns are for reference only; edit the amount in COGS and the source currency in Currency.

Record income and expenses

Use “Income & Expenses” to record amounts Amazon does not report, such as software, accounting, agency fees, or one-time adjustments.

Create an entry

  1. Select “Add expense” and “One-time”.
  2. Choose “Income” or “Expense” as the type, then enter a date and title.
  3. Enter “Net amount” and “VAT” as monetary amounts, not a tax rate. For EUR 100 net plus EUR 19 tax, enter 100 and 19.
  4. Select the category and choose the marketplaces or SKUs the amount applies to.
  5. Save the entry.

The entry list shows the gross amount: EUR 119 in this example. The P&L includes EUR 100 with input VAT recoverable enabled, or EUR 119 otherwise. This is why the list amount can differ from the profit overview.

Allocate amounts

For example, an expense of EUR 90 assigned to DE, FR, and IT contributes EUR 30 to each marketplace. Assigned to all marketplaces instead, the EUR 90 remains a general workspace amount. It is excluded from a view filtered by specific marketplaces or products, even if you select several marketplaces.

Manage categories

Under “Manage P&L categories”, create, rename, or delete your own cost categories, or assign them to a P&L “Main category”. This assignment determines the profit tier at which entries are included. Changing the assignment also applies to existing entries.

Deleting a category does not delete its entries. Without that assignment, they appear under “Other Costs”. Amazon-defined categories do not appear in this dialog; automatically recorded entries cannot be edited.

Manage recurring entries

Choose “Recurring” when creating an entry, then set “Start date” and “Frequency”. The template appears under “Scheduled”, while generated entries appear under “Manual”.

  • Daily: one entry per day.
  • Weekly: on the start date's weekday.
  • Monthly: on the start date's day of the month. If that day does not exist, sellerfox uses the last day of the month, such as February 28 instead of the 31st.

If the start date is in the past, creating the template generates the start-date entry. The intervening recurrences are not filled in automatically. Check historical expenses and add missing entries individually.

Edit the template under “Scheduled” to change future entries. Entries already generated remain unchanged; edit an individual entry under “Manual”.

When deleting the template, choose between:

  • Stop future expenses”: ends the recurrence and keeps every entry already generated.
  • Delete all expenses”: removes the template and every entry generated from it.

Set your own FBM costs

Use Profit Tracking Settings to configure merchant-fulfilled costs. These rules apply only to FBM. For FBA, sellerfox uses the fees reported by Amazon.

Pick & Pack

On the “Pick & Pack Costs (FBM)” tab, configure order handling and packing:

For example, three units incur one first pick and two additional units. This applies to three units of the same SKU as well as three different SKUs.

Return costs

On the “Return costs” tab, configure handling and return-label costs once per refunded order, plus a cost per refunded unit. Multiple return shipments for one order do not incur the fixed fees more than once.

sellerfox estimates return costs from the refunded quantity reported by Amazon. This does not mean that the items were actually returned. If Amazon reports no refunded unit, for example for a price-only adjustment, no return costs are estimated.

Shipping templates and priority

Open the “Shipping costs” tab and select “Create First Template”, or “Add Template” if templates already exist:

  1. Name the template.
  2. Choose the marketplaces, destination countries, and products it covers. With a restricted product selection, every product in the order must be included.
  3. Choose a flat rate, weight tiers, or size tiers, and enter the costs.
  4. Save the template and check its position in the list.

sellerfox checks active templates from top to bottom. The first matching template applies; matching prices are neither added together nor compared to find the cheapest. Drag active templates into the desired order. Inactive templates are skipped.

If no template matches, the “Default Template” applies to all marketplaces, destinations, and products. If its price is set to 0, sellerfox includes no estimated shipping costs.

When Amazon has reported actual shipping-label costs for an order, sellerfox does not also deduct the estimated FBM shipping amount for that order. Pick & Pack costs are unaffected.

Weight and size tiers

A tier includes both its lower and upper bound. If the value falls outside every tier, sellerfox checks the next template and finally the default template.

Missing weights or dimensions do not automatically exclude a template. Missing values contribute nothing to the combined weight or largest dimension, so a tier that is too low may match. Check the product data and the simulator result.

Price changes and earlier orders

Use “Add rate change” to set a new price from its “Effective from” date. Keep existing prices if earlier orders should remain unchanged. Editing or removing an existing price can also change profit for past periods.

Changes trigger recalculation of the affected estimated FBM costs. See Changes to costs for when to check the new values.

Simulate shipping costs

Use the Shipping Cost Simulator to check a configuration: select products, a “Marketplace”, and a “Destination”, then choose “Calculate Shipping”. The result names the template that applied, the tier that matched, and the reason any template was skipped.

Simulate one order to see which template and tier a shipping cost came from.

The simulator uses today's date and one unit of each selected product. The simulator therefore does not recreate a specific historical order. To compare the result with an earlier order, account for that order's date, quantities, and the prices that applied then.

Where the figures come from

Changes to costs

The time needed for a cost update depends on the amount of data. After changes to FBM cost rules, an orange update banner indicates that recalculation is still running:

For COGS, the update is part of saving or importing. You do not need to wait after the success message.

During the FBM update, estimated costs may still be incomplete. If neither the orange nor a red banner appears after reloading, the update has finished. A red banner means the update failed; the last known values may still contain old costs. Follow FBM update troubleshooting.
