Workspaces, teams & roles
A workspace contains one Seller Central account in one Amazon selling region, along with its marketplaces, data, members, settings, and billing information. Your role is assigned separately in each workspace.
One selling region per workspace
A workspace belongs to the “Europe” or “North America” region. Connecting SP-API fixes both the connected Seller Central account and the Amazon selling region. The region also becomes fixed when onboarding is complete. Use a separate workspace if you sell in both regions.
One workspace or several
| Situation | What fits |
|---|---|
| Several marketplaces for the same Seller Central account in one Amazon selling region | One workspace |
| Another Seller Central account | Another workspace |
| Another Amazon selling region (EU or NA) | Another workspace |
You do not need a workspace per marketplace. Select several relevant marketplaces in one workspace when they belong to the same Seller Central account and region.
Every additional workspace has its own Amazon authorization, members, and subscription. sellerfox does not transfer data or settings between workspaces automatically. Because roles are assigned per workspace, the same person can be an Owner in one and a Viewer in another. See Supported marketplaces and Subscription, billing & credits.
Workspace lifecycle
| State | Access and data | Available action |
|---|---|---|
| Setup | The Workspace Owner chooses the region, authorizes Amazon, and completes the workspace settings | Finish the “Setup guide”, or the workspace is eventually deleted |
| Active | Data refreshes and features run on their schedules | Use the workspace normally |
| Subscription ended | Dashboard features are locked once the billing period has ended | The Workspace Owner subscribes again, or prepares deletion |
| Deletion scheduled | The workspace disappears from view immediately; product data is removed after the documented period | No restore action in the dashboard |
| Deleted | Workspace product data has been removed | Create a new workspace |
There is no pause state. Workspaces with an ended subscription or incomplete setup are not kept indefinitely. When a subscription ends, sellerfox warns the Workspace Owner and Admins before deleting the workspace, as described under Retention and deletion. A workspace that never completes setup is deleted about a week after its reminder email, about 15 days after it was created. To stop further data collection from Amazon without deleting the workspace or existing data, revoke the sellerfox authorization directly in Seller Central; see Amazon connections.
Manage workspace settings
Open Settings → Workspace to manage the settings that belong to the workspace.
| Setting | Purpose |
|---|---|
| “Workspace name” | The name in the workspace switcher and in emails |
| “Workspace owner” | The current Workspace Owner, and the ownership transfer |
| “Target currency” | The currency for totals and converted amounts; set during setup and cannot be changed later |
| “Input VAT recoverable” | Whether Profit Tracking includes VAT-bearing costs in the profit and loss statement net or gross of VAT. Turn it off for a small-business registration (Kleinunternehmer), where input VAT is a real cost |
| “Relevant marketplaces” | Which marketplaces sellerfox loads data for and offers in filters |
| “Danger zone” | Leaving the workspace, and deleting it |
Users with the “Owner”, “Admin”, or “Viewer” role can view this tab. Only users with the “Owner” or “Admin” role can change its settings. See Profit Tracking for what the VAT setting does to the profit figures.
Invite members
- 1
Open User Management
Go to Settings → User Management. Owners and Admins can open this tab.
- 2
Choose the member settings
Select “Add user”, enter the email address, and choose “Admin”, “Readonly access”, or “External” where available. Under “E-Mail Notifications”, the switches “Performance PDF reports” and “KPI-Alerts” are off by default for a dashboard member. At least one must be on for an External member.
- 3
Send the invitation
Select “Invite user”. If the person already has a confirmed sellerfox account, their membership becomes active immediately. Otherwise, the invitation stays pending until the person creates and confirms a sellerfox account with that email address. External members are activated without signing in.
The email address has to match the invited person's sellerfox account, so use the address the person signs in with. Permissions explains what each role can do and how to change a member's access later.
The “External” role is only available with the Agency Plan
The “External” role can only be enabled with the Agency Plan. Contact support to enable the role.
Leave a workspace
Admins and Viewers can leave under Settings → Workspace → Danger zone. The Workspace Owner cannot leave and must transfer or delete the workspace instead. Workspace access ends immediately, and sellerfox notifies the Workspace Owner by email.
sellerfox notifies removed members with the email "Access to the workspace was withdrawn". Their sellerfox account and memberships in other workspaces remain unaffected.
Transfer the workspace
The future Workspace Owner must already be an active Admin in the workspace. Only one transfer can be pending at a time.
- 1
The Workspace Owner starts the transfer
Open Settings → Workspace, select “edit” beside “Workspace owner”, choose the Admin, and select “Start transfer”. Until the future Workspace Owner accepts the invitation, the current Workspace Owner can cancel the process.
- 2
The Admin accepts or declines the transfer
The selected Admin chooses “Confirm transfer” or “Decline transfer”. On confirmation, the Admin becomes Owner and the previous Workspace Owner becomes Admin.
A transfer clears billing details
The subscription continues, but sellerfox removes the saved payment method and the invoice details. The new Workspace Owner has to enter them again under Settings → Subscription.
Delete the workspace
Only the Workspace Owner sees Settings → Workspace → Danger zone → Delete workspace .... The dialog asks for the workspace name as confirmation. The workspace then disappears for every member immediately, and there is no restore action.
Deletion is blocked while a subscription is active, including the remaining term after cancellation. If sellerfox invoices the workspace outside the dashboard, a second restriction applies for one month after onboarding.
sellerfox removes the workspace data about 48 hours after your deletion request. Retention and deletion explains what this includes and which legal records are retained.
Switch workspaces
Use the workspace switcher in the dashboard navigation. Connections, marketplaces, members, alerts, webhooks, KPI sets, product lists, saved filters, and subscriptions all belong to the selected workspace.
MCP authorization belongs to the person instead. One authorized MCP client can therefore cover several approved workspaces at once. When a member is removed from a workspace, their MCP connection loses access to it. Inviting the person to the workspace again does not restore that access automatically.
