KPI alerts

A KPI alert watches one KPI against a condition you define. sellerfox evaluates each KPI alert once a day and emails a summary as soon as at least one condition matches or a current KPI value is missing. The latest date an alert can evaluate is the day before yesterday, so sellerfox does not check yesterday's value until the next daily evaluation.

Why yesterday is not evaluated

Amazon does not deliver a day's data complete straight away. Depending on the KPI you picked, yesterday is therefore still too patchy to check a condition reliably, so sellerfox skips that day in the evaluation. The day before yesterday is not final either: dashboard data becomes complete after about four days, and Amazon revises sales and traffic data and advertising data even after that. In practice, the value for the day before yesterday is already very close to the final result. See Data refresh schedule.

Owners and Admins can create, edit, and delete KPI alerts. Viewers can open the list and inspect a KPI alert, but Viewers cannot make changes. External members have no access to the list but can still receive the daily summary. See the permissions matrix for a comparison of all roles.

Create a KPI alert

Open Automations → KPI Alerts, then select “New alert”.

    Choose the scope and KPI

    Under “What do you want to monitor?”, choose the scope in the “Category” field. For every scope except “Account level”, a second row appears for the specific target: marketplace, parent ASIN, child ASIN, product list, or keyword. Then select the “edit” link in the “KPI” row and pick the KPI.

    Choose the comparison type

    Under “What type of change do you want to monitor?”, choose one of the three comparison types.

    Set the condition

    Under “When should an alert be sent?”, set the current period, the direction, and the value. For “Percentage change” and “Absolute change”, also choose the comparison period.

    Preview and save

    Check the condition in the “Preview”, which covers the past 30 days. Then select “Save alert” or “Save alert + create another alert”.

The scope determines which KPIs you can select:

A KPI alert on a parent ASIN therefore watches the combined figures of the whole family. When one variant declines, the other variants can offset the decline, so the condition does not match. Create a separate KPI alert on the child ASIN for every variant you want to watch on its own.

Changing the category resets the KPI selection, because a different scope offers a different set of KPIs. Use the KPI Explorer to confirm the exact KPI name before you create the condition.

Comparison types and periods

In the form, a condition reads as a sentence made of three parts: a period, a direction, and a value.

The period is either “Current value”, the value for the day before yesterday, or an average over 7, 14, or 30 days; those periods also end the day before yesterday. An average evens out one-off outliers: with “Current value” a KPI alert reacts on any single day, with an average only to a sustained change. The value must be greater than 0, otherwise saving stays blocked.

What sellerfox compares that period against depends on the comparison type:

Type of changeComparison and condition
Thresholdsellerfox compares the period's value against a fixed number. For the direction, choose “is greater than” or “is smaller than”. A value exactly on the threshold does not trigger the KPI alert.
Percentage changesellerfox compares the period against a comparison period and measures the deviation as a percentage. For the direction, choose “increases by”, “decreases by”, or “increases or decreases by”.
Absolute changesellerfox compares the period against a comparison period and measures the difference in the KPI's own unit. The directions are the same as for “Percentage change”.

For “Percentage change” and “Absolute change”, the form adds a “Compared to” row below. There you choose the comparison period, again as a single day or an average, and where it sits: “of the previous period” lies directly before the current period, “in the previous year (YoY)” exactly one year earlier.

A missing value also triggers the KPI alert

When the current period returns no value, sellerfox still includes the KPI alert in the email summary and reports "No value was measured. Please check the data in detail." This happens when no data exists for that day for the monitored marketplace, ASIN, product list, or keyword.

Example: TACoS above 15%

Choose “Account level”, TACoS (Ads), “Threshold”, and “Current value”. Set the condition to “is greater than” and enter 15. sellerfox then compares the daily value of TACoS (Ads) with 15%. Adjust the threshold to match your own target.

The daily email summary

Configure KPI alert emails for each member who should receive the summary:

  1. Open Settings → User Management.
  2. Add a member or edit an existing one.
  3. Under “E-Mail Notifications”, enable “KPI-Alerts” and save.

This notification is enabled for the Workspace Owner by default and disabled for everyone else. Enable “KPI-Alerts” for each member who should receive the summary. Only active members receive the email; members marked “Invite pending” do not.

The email summary lists every KPI alert with a matching condition or a missing current KPI value. Every entry names the condition, the monitored scope, and the current period value. “Percentage change” and “Absolute change” add the comparison period value and the difference in absolute terms and as a percentage. The “Go to KPI alerts” button opens the list directly. Subject and body appear in the language set in the recipient's sellerfox account.

The threshold entry at the top shows only the current value; the three change entries below it add the comparison period and the difference.

sellerfox sends no email when no condition matches and all current KPI values are available. KPI alerts are delivered by email only.

Read the list and the details

Each row shows the result of the last evaluation on the left, the KPI and condition next to it, and the scope below. A red warning icon means the condition matched at the last evaluation; a green check mark means the condition did not.

Show details” opens the stored configuration and the preview of the KPI alert across the past 30 days. The orange line shows the KPI for the current period; “Percentage change” and “Absolute change” add a gray line for the comparison period. Edit and delete KPI alerts

Owners and Admins open the three-dot menu at the right of a row and select “Edit” or “delete”.

In the form you change the KPI, the type of change, the periods, and the condition, plus the target within the existing category. The category itself is locked. To change the category, delete the KPI alert and create a new one.

Save with “Save changes”. “Delete alert” removes the KPI alert straight from the form.

Deleting a product list deletes its KPI alerts

When you delete a product list, sellerfox also deletes every KPI alert that monitors it. Recreate the monitoring for another product list afterward.

Allowance per workspace

The number of KPI alerts per workspace is limited. Once the allowance is used up, you cannot save another KPI alert; delete a KPI alert you no longer need.
